One of the key roles we are looking to fill is that of an Office Assistant. This position is integral to the smooth operation of our team and involves a variety of tasks that support both our internal team members and our valued clients.
Your Duties and Tasks:
As an Office Assistant at Coalition Technologies, your responsibilities will include:
- Answering phones and directing calls to the appropriate team members.
- Completing entry-level bookkeeping tasks such as recording expenses, organizing receipts, and maintaining transaction records.
- Resolving billing issues with clients and internal team members.
- Providing account access, usage reports, data analysis, and handling other ad hoc requests.
- Supporting quality assurance checks for various internal and client-facing reports.
- Organizing new client contracts, creating invoices, and processing client payments.
- Contributing to the maintenance and upkeep of internal databases through diligent data entry.
- Researching, ordering, and distributing company-wide gifts several times a year.
- Organizing company events, competitions, and special projects throughout the year.
- Facilitating company holiday schedules, time off, and variations in work schedules.
What We’re Looking For:
To excel in the Office Assistant role, you should possess the following qualities and skills:
- A willingness to learn, grow, and collaborate with the team and company as a whole.
- Excellent verbal and written communication skills.
- A high level of discretion, ethics, and trustworthiness.
- Intermediate spreadsheet skills (preferred).
- Innovative thinking and a willingness to challenge existing methods for potential improvements.
- Experience in bookkeeping or financial record-keeping (preferred).
- Familiarity with Google Sheets, Excel, QuickBooks Online, and G Suite (preferred).
- Availability to work 40 hours per week from 9:00 am to 6:00 pm PST.
- A reliable space to work remotely with a fast computer, quality internet, camera, microphone, and speakers.
